Improving Maura's Online Yoga Studio Workflow

We've been working with Maura for years and have built a tool to make her workflow simpler so she can get focus on her yogis.
Yoga With Maura is an online yoga studio hosting live classes every day, and we've been working with Maura for a few years now — from the first class calendar and video player on the Yoga With Maura website right through to the studio dashboard we've been building this year. In that time we've gotten to know the pain points, and where the day-to-day running of the studio could be made a bit easier.
The Problem
Running a daily studio takes a lot of small jobs. Classes need scheduling, cover teachers need arranging when someone can't make a session, online vdieos need setting up, recordings need to find their way back to the website for the yogis who missed the live class, and preferrably it's easy to use and manage. None of them take long on their own, but when they were spread across different tools and they all needed doing before Maura could get on the mat and teach.
The Solution
We built Maura a dashboard — one place for the whole studio.
The schedule sits at the heart of it. Recurring classes, one-off classes, events and teachers are all managed from the same screen, with a month at a glance for planning ahead and a day panel for checking what's on — every class on the day, who's teaching it, and a button to start the class right there.
Setting a class up is one form. Name it, pick the teacher, set the time, the length and the days it runs on, and that's the class in the timetable. If a teacher needs cover, "Add Temp" drops a name in for that class alone without touching the rest of the timetable, and teachers have their own profiles and image galleries so every class card gets the right face on it.
Zoom is wired in behind the scenes. The meeting is created when the class is saved — no copying links about — and the waiting room is off, so yogis join straight into the class with no host admission step. Once the class is over, the recording is collected, processed and published back to the website on its own, no downloading, uploading or renaming in between.
The Result
The dashboard drives the website. The class calendar, the class comments and the video player on the Yoga With Maura site all read from it, so the schedule Maura sets is exactly the schedule her yogis see.
Every class that's been taught builds up a library, live classes and pre-records together, searchable and filterable by day, status and type. If a yogi asks after a class from last Tuesday, it takes seconds to find.
For Maura, it means the studio admin happens in one place, in a few minutes, instead of being scattered across an afternoon — leaving more of the day for teaching and for her community.
The Technical Fun
A few things we cared about while building it:
- One source of truth — the dashboard exposes the schedule, comments and video through its own API, and the sections on the website read from that rather than keeping their own copy.
- Recordings that don't hold everything up — recordings are streamed to disk and up to storage as they arrive instead of being held in memory, so a large class recording doesn't slow everything else down while it processes.
- Streamed, not downloaded — classes are transcoded and served from the CDN, so yogis can watch a class back without waiting on a full file.
- Kept an eye on — error reporting, rate limiting on the APIs and monitoring with alerts, so we hear about problems before Maura needs to worry about them.
Each recording keeps its own processing log too, from the webhook telling us the class started through to the finished stream, so when something needs checking there's a trail to follow rather than a guess to make.
The dashboard is live right now, in use with Maura and her teachers while we're making sure everything remains stable for the teachers and her community.
